Responsible Use of Technology Agreement
Version: September 2024
Being a Responsible Member of the School Community
The Crofton House School Student Code of Conduct lays the groundwork for using technology responsibly. The Responsible Use of Technology Agreement extends this by outlining specific conduct related to the use of digital technology, including digital devices. It describes the attitudes and actions needed to keep our technology use appropriate, safe and secure while protecting everyone in the CHS community.
As a student, the statements below describe the expectations for your use of digital technology, whether you're on campus or off. If your actions affect the caring, safe or orderly nature of our school environment, it will be considered a violation of the CHS Student Code of Conduct and investigated as such. There may be consequences to the student for conduct related to the use of technology. As outlined in the Student Code of Conduct, you are expected to speak up (to a person in authority) when you witness or believe that a member of the community is demonstrating unacceptable conduct.
As a student at Crofton House School,
Behaviour
- I will be a safe, responsible, and respectful digital citizen, knowing my online actions affect myself and others.
- I will bring and charge my student-issued device daily for classes that require technology (grades 6–12).
- I will respect the school's measures to keep us safe and protect the network, and I won't try to bypass them with tools like VPNs.
- I will consider if printing is necessary, and if so, use double-sided and black ink to minimize waste, knowing that excessive printing may result in charges to my account.
- In remote learning, I will be mindful of what is visible and audible around me.
- I will follow the rules described in the Digital Device Playbook that outlines when and where I will and will not use digital devices.
- I will also follow the Guidelines for Creating Representations of People, Places, Objects and Events.
Personal Safety
- I will keep my CHS email and network passwords private and never use someone else's.
- I won’t share personal information online that could affect my safety or the school's security.
- Before using new technology, I’ll check the minimum age requirements or ask a trusted adult.
- I will only use my CHS email for school matters and a private account for everything else.
- If I receive or find objectionable content, I’ll avoid responding and inform a trusted adult immediately.
- Lastly, I will stay stationary when using a mobile device to ensure my safety.
Privacy
- I will password-protect devices storing or accessing CHS information with a secure password known only to me.
- I will set website and app privacy settings appropriately.
- I will keep video conference invitations and passwords private.
- I will respect others' privacy by not recording, photographing, or filming without consent.
- I will not contribute personal, private or confidential information on AI-related platforms.
- I will get consent before taking or using digital media of others, including during lessons or remote learning.
- I will obtain consent before sharing or publishing private information, images, or recordings.
Use of Social Media
- Before signing up for social media, I will understand its benefits and potential risks.
- I will follow the CHS Student Code of Conduct in all online interactions.
- I will be responsible for the content I share on platforms like Instagram, Snapchat, and others.
- I will get permission from the CHS Communications Department before creating any school-related social media accounts.
- I will only “friend” or “follow” CHS teachers or staff on school-related social platforms.
Illegal Activities
- I will only submit, publish, or receive material that is not defamatory, inaccurate, harassing, abusive, obscene, profane, sexually explicit, threatening, offensive, or illegal.

Care of CHS Owned / Student Issued Devices
- I will keep my student-issued device in its protective case at all times.
- I will keep the device away from food, liquids, and materials that could damage it.
- I will report any damage or issues with the device or software to IT support immediately.
- I will be the only user of my CHS device.
- I will ensure the device is secured or out of sight when outside my home.
- I will check that I have not left the device behind when leaving a car, bus, or classroom.
- I will report any theft of my student-issued device or a personal device used for school information to the police and CHS and provide a police report to IT support.
Conditions Regarding Use of CHS Owned / Student Issued Devices
In a one-to-one technology strategy, students in Grades 1 to 12 are issued devices owned by Crofton House School. There are several conditions associated with this program.
- The device is issued to the student. The student is the only authorized user of that device. Although the student accepts responsibility for the care and use of the device, the device remains the sole property of CHS.
- The student-issued devices have a warranty; however, the warranty does not cover loss or theft. If a unit is lost or stolen, a replacement unit will be given, and the student’s account billed for payment in full for the cost of the unit.
- The device warranty spans four years (iPads) or five years (MacBooks). The length of the warranty is based on the One to One cycle timeframe.
- The device warranty includes any manufacturing defect and two instances of accidental damage. A letter will be sent to parents/guardians to acknowledge the damage and inform them that an instance of accidental damage has been used.
- More than two instances of accidental damage will require payment in full for the cost of the repair, and this will be billed to the student’s account.
- If the student’s device is beyond economical repair, the unit will be replaced with a new device. Temporary loaner devices will be issued when required.
- Under no circumstances may any school-owned software be transferred to any other device except under the direction of the IT Department.
- CHS is not responsible for loss of data or service interruption.
- Starting from the 2022/23 school year, if the student has the same computer from Grade 8 to Grade 12, the student will be offered that computer at no extra cost and may take it with them when they graduate. This is conditional upon the IT Department resetting the device to factory settings.
- Students are not allowed to replace their student-issued device with a personal device; however, they may bring a secondary device to complement the student-issued device, such as an iPad or tablet.
Crofton House School Practices
Practices are in place at Crofton House School to ensure the safety and security of members of our community, as well as network security and integrity. The school reserves the right, without notice, to:

- Limit, restrict, inspect, copy, remove, or delete unauthorized use of school technology.
- Review files, data, and messages to ensure responsible use of the system at all times.
CHS makes no warranties, expressed or implied, regarding network monitoring. Accessing information via the internet is at the user’s own risk, and CHS is not responsible for the accuracy or quality of information obtained through its network services.

- Manrell
